TERMS AND CONDITIONS
These Terms & Conditions (the “Agreement”) establish a binding legal understanding between the registrant or attendee (the “Participant,” “you”) and Global Diplomats LLP (“Global Diplomats,” “we,” “us,” or “our”). By registering for, accessing, or attending any program, conference, simulation, or event (“Event”) organized under Global Diplomats LLP, you agree to these Terms and our Privacy Policy.
1. Eligibility, Registration & Authorized Channels
1.1 Eligibility.Participation is open to individuals with an academic, professional, or personal interest in leadership, diplomacy, governance, or related global affairs. All participants must complete the official registration process via approved Global Diplomats LLP channels.
1.2 Authorized Registration Channels.Registration and payment must be made only through our official platform at www.globaldiplomats.org/register. No third party or agent is authorized to collect registration details or payments on behalf of Global Diplomats LLP.
1.3 Accuracy of Information.You affirm that all information provided is accurate and current, and complete. Any misrepresentation or omission may result in cancellation without refund.
1.4 Legal, Travel & Immigration Responsibility.Participants are solely responsible for securing visas, travel documents, insurance, vaccinations, and for adhering to all laws and entry regulations of the host country. Global Diplomats LLP shall not be held liable for visa denials, travel delays, or entry refusals.
1.5 Discretionary Acceptance.Global Diplomats LLP reserves the right to accept, decline, or cancel registrations at its sole discretion.
2. Pricing, Payments & Taxes
2.1 Fees & Taxes.All applicable fees are displayed during checkout. Participants are responsible for bank fees, transaction charges, conversion rates, and taxes.
2.2 Payment Methods.Payments are valid only when made through approved channels listed on the official registration page. Payments made elsewhere are not recognized.
2.3 Confirmation.Registration is confirmed only upon full receipt and verification of payment by Global Diplomats LLP. Pending or partial payments do not secure participation.
2.4 Installments.If permitted, each installment is binding and non-refundable. Missed payments may result in automatic cancellation.
2.5 Commencement of Services.You acknowledge that certain administrative and digital services begin immediately upon payment — including delegate onboarding, ID issuance, scheduling, communication setup, and (if applicable) visa support documentation.
3. Refunds, Credits & Transfers
3.1 Non-Refundable Policy.All payments are strictly non-refundable under any circumstances, including but not limited to withdrawal, travel issues, illness, or visa denials. However, participants may request a credit voucher or transfer to another Global Diplomats LLP event under eligible conditions.
3.2 Eligibility.Requests are valid only for participants who have paid in full. Partial payments are treated as non-refundable cancellations.
3.3 Submission Window.Requests must be submitted through the official Global Diplomats LLP communication channel under the following conditions:
The Participant has paid in full and submits the request within 20 calendar days of full payment; or
The request is submitted at least 45 days before the scheduled start date of the registered Event.
If these conditions are not met, the following retention policy applies:
≥30 days before event: 30% retained, 70% credited as a voucher
20–29 days before: 50% retained, 50% credited
10–19 days before: 75% retained, 25% credited
<5 days before: 100% retained (classified as “No Show”)
3.4 Credit Voucher Terms.Vouchers are valid for 12 months from issuance, non-redeemable for cash, non-transferable (except with written consent, through our official communication channel), and applicable only to Events directly organized by Global Diplomats LLP.
3.5 Finality.By making payment, you acknowledge and accept that your exclusive remedy for cancellation or withdrawal is a credit voucher or event transfer as stated above.
4. Billing & Disputes
4.1 Billing Queries.For any billing concerns, email support@globaldiplomats.org.in within seven (7) days of the charge with supporting documentation.
4.2 Proof of Services.Issuance of a delegate ID, communication updates & portal, or visa support documentation may serve as evidence of partial or full service delivery.
4.3 Reinstatement After Dispute.If a chargeback or payment reversal is later resolved in favour of Global Diplomats LLP, reinstatement of participation requires repayment of the disputed amount and any recoverable processing fees.
5. Program Changes, Force Majeure & Cancellations
5.1 Allocations.Delegate allocations and country assignments are handled through our system. Preferred allocations are not guaranteed.
5.2 Event Modifications.Global Diplomats LLP may, at its discretion, rename, rebrand, reschedule, or relocate an Event within a reasonable timeframe or equivalent venue/city without altering its essential purpose.
5.3 Force Majeure.Global Diplomats LLP shall not be liable for delays, rescheduling, or cancellations due to events beyond our control (e.g., natural disasters, travel restrictions, strikes, pandemics, political unrest). In such cases, registrations are automatically transferred to a subsequent edition. No cash refunds apply.
6. Conduct, Safety & Ethics
6.1 Professional Conduct.Participants are expected to maintain professional, respectful behavior throughout the Event. We have a zero-tolerance policy towards harassment, discrimination, and plagiarism. Any misconduct may lead to removal without refund or credit voucher or event transfer.
6.2 Personal Responsibility.Participants are responsible for their personal property, safety, and compliance with venue rules and host country laws.
6.3 Assumption of Risk.Participation in international programs involves travel and group activity risks, which you voluntarily assume to the maximum extent permitted by law.
7. Intellectual Property & Media Rights
7.1 Ownership.All Event content, materials, and intellectual property (logos, trademarks, but not limited to) belong to Global Diplomats LLP or its licensors.
7.2 Restrictions.Unauthorized copy, recording, broadcast, distribution, or replication of materials is prohibited without prior written consent or explicit permission from Global Diplomats LLP.
7.3 Personal Use Exception.You may use limited materials for personal, non-commercial reference purposes only.
8. Data Protection & Communication
8.1 Privacy.Personal information is collected and processed in accordance with our Privacy Policy and applicable data protection laws.
8.2 Operational Communication.By registering, you consent to receive necessary updates and notifications related to your Event participation via email, SMS, or mobile app.
8.3 Account Security.You are responsible for safeguarding your login credentials and notifying us of any unauthorized access.
9. Third-Party Services
Global Diplomats LLP may engage third-party venues, platforms, payment processors, or vendors to facilitate its Events. Each may have independent terms and privacy policies. Global Diplomats LLP is not liable for third-party acts, errors, or omissions.
10. Disclaimers & Limitations of Liability
10.1 Disclaimer.Except as expressly stated, all services and content are provided “as is,” without warranties of any kind.
10.2 Limitation of Liability.To the fullest extent permitted by law, Global Diplomats LLP shall not be liable for any indirect, incidental, or consequential losses. Aggregate liability shall not exceed the total fees paid by you for the specific Event in question.
10.3 Indemnity.You agree to indemnify and hold harmless Global Diplomats LLP, its officers, employees, and representatives from any claims arising from your breach of this Agreement or your conduct during participation.
11. Governing Law & Jurisdiction
11.1 Applicable Law.This Agreement is governed by the laws of India.
11.2 Jurisdiction.Any disputes shall be subject to the exclusive jurisdiction of the competent courts in Bengaluru, Karnataka, India.
11.3 Global Applicability.While registered in India, Global Diplomats LLP operates and organizes conferences internationally, and these Terms apply to all such Events globally.
12. General Provisions
12.1 Notices: Legal notices may be sent to grievance@globaldiplomats.org.in
12.2 Updates: Global Diplomats LLP reserves the right to interpret, revise, or update these Terms to maintain fairness and operational integrity.
12.3 Severability: If any clause is found unenforceable, the remaining provisions remain in full force and effect.
12.4 Assignment: Participants may not assign rights under this Agreement without prior written consent.
12.5 Entire Agreement: This document constitutes the full agreement between the parties and supersedes all prior understandings.
12.6 Electronic Acceptance: By clicking “I Agree,” checking a box, completing registration, or attending the Event, you acknowledge that you have read, understood, and accepted these Terms electronically.
